Roles and Responsibilities:
The Purchase Executive is responsible for managing the procurement process by reviewing purchase requisitions, maintaining optimal inventory levels, and ensuring timely vendor management. This role includes resolving discrepancies, conducting market analysis, and coordinating logistics to support the organization’s operational needs.
Key Responsibilities: 1. Purchase Requisition Management:
A- Review and process purchase requisitions received from various departments.
B- Ensure requisitions comply with company policies and budget constraints.
2. Inventory Control:
A- Monitor minimum stock levels through stock statements.
B-Assist in maintaining optimal inventory levels across the factory.
3. Discrepancy Resolution: Verify order quantities in case of discrepancies or disputes.
4. Vendor Management:
A- Obtain quotes from registered vendors for regular materials.
B-Source and secure quotes from new vendors for new products or price changes.
5. Market Analysis:
A- Keep updated on market trends to adjust vendor price lists accordingly.
6. Negotiation:
A- Negotiate pricing and credit terms with vendors to achieve cost savings.
7. Purchase Order Management:
A- Follow up on Performa Invoices and place purchase orders for import purchases.
B- Coordinate with the accounts department to facilitate payment processing.
8. Logistics Coordination:
A- Submit Telegraph Transfer advice or Letter of Credit drafts to import suppliers.
B- Collect and confirm Letter of Credit draft from shippers.
9. Shipment Follow-up: Coordinate with shippers for dispatch details, including dates and packing lists.
10. Documentation Management: - Ensure collection of shipping documents, including Bills of Lading. o Manage LC documents for payment releases related to shipments.
11. Material Oversight:
A- Assist in procuring Electrical and Electronics materials.
B- Oversee all mechanical purchase activities to ensure timely supply.
12. Transportation Management:
A- Track and reconcile incoming and outgoing transport invoices.
B- Collaborate with logistics to arrange shipments and deliveries.
13. Cost Management:
A- Identify opportunities for cost-cutting and efficiency improvements in the purchasing process.
B- Monitor expenditures and provide reports on purchasing activities.
14. Additional Responsibilities:
A- Counter-sign purchase orders as required.
B- Support the Purchase Manager in various administrative tasks related to procurement
Essential Skills-
Ability to work independently and manage time effectively.
Proficiency in MS Office and CRM software.
Strong organizational skills with attention to detail.
Required Candidate profile
1) Qualification: Minimum Graduation or Post Graduation
2)Minimum Experience: 5+ years of experience is relevant field. Desirable:
Preferable from Elevator/Manufacturing/ project management/EPC/DG ste/ Material Handling Industry / Electrical Contracting or Panel manufacturing Industry/ HVAC/ Car Parking Industry/ Special Equipment manufacturing industry
